Notion lists $10 (Plus) and $20 (Business) per member per month, with up to 20% off for annual billing. It is an excellent wiki; when it is used to run orders, customer files or field service, a business app at $6,800 to $22,400 (€6,000–€20,000)excl. VAT, alongside Notion, becomes more reliable.
Notion has become the workspace of many teams: wiki, procedures, notes, and more and more databases. The shift is natural: you start by documenting a process, and end up running it in Notion. That is where the limits appear. Here are Notion’s public prices, a 3-year comparison, and a simple rule for what to keep in Notion and what to move out.
Notion public pricing
Prices checked in October 2026 on Notion’s pricing page. At the time, the page showed prices in US dollars, per member per month. It offers monthly or annual billing and says you save up to 20% with annual billing, without stating which option the listed amounts reflect.
| Plan | Listed price | AI included |
|---|---|---|
| Free | $0 | Notion AI trial |
| Plus | $10 per member per month | Notion AI trial |
| Business | $20 per member per month | Notion Agent, AI meeting notes, enterprise search (beta) |
| Enterprise | custom quote | Business + zero data retention with AI providers |
Custom agents are billed extra after the trial ($10 per 1,000 monthly credits, according to the same page).
The 3-year cost: replace or complement
With Notion, the real comparison is not Notion versus custom software: it is “everything in Notion” versus “Notion for documentation, an app for operations”. Assumptions for this example, to replace with your own: 40 members, no price change over 3 years; a business app at $16,800 (€15,000)excl. VAT plus €2,500 a year. Notion amounts are in dollars, custom in euros.
| Scenario | Annual cost | 3-year cost |
|---|---|---|
| A. Everything in Notion Business ($20) | $9,600 | $28,800 |
| B. Notion Plus for documentation ($10) | $4,800 | $14,400 |
| B. + business app ($16,800 (€15,000)excl. VAT + €2,500 a year) | €2,500 a year, plus the upfront investment | €22,500 |
Scenario B costs more than A in this example. It is therefore not justified by savings, but by reliability: validated data, enforced business rules, role-based permissions, clean connections with your other tools. If your Notion databases carry nothing critical, stay with scenario A. The calculation method is detailed in the 3-year total cost.
What Notion does well, and what it does less well
| Use | Notion | Business app |
|---|---|---|
| Wiki, procedures, documentation | Very well suited | Unnecessary |
| Notes, meeting minutes, light project tracking | Very well suited | Unnecessary |
| Databases with free-form entry | Suitable | Possible |
| Controlled entry (required fields, formats, duplicates) | Limited | Suitable |
| Business calculations, pricing, validation rules | Limited | Suitable |
| Business-role permissions, customer or partner access | Limited | Suitable |
| Field mobile use, offline, photos, signature | Limited | Suitable |
| Reliable exchanges with the ERP or invoicing | Through external connectors | Native |
Warning signs to watch for
Some symptoms keep coming back when a Notion database carries a process it was not designed for:
- the same information exists in several databases, with different values;
- “status” or “amount” properties are filled in by hand, with no checks, yet they drive decisions;
- someone spends time every week checking or correcting other people’s entries;
- exports to Excel are needed to calculate, consolidate or invoice;
- permissions are worked around by duplicating pages for a customer or partner;
- external connectors link Notion to the ERP or invoicing, and break when a property is renamed.
Each of these signs has a cost in time and errors. To quantify it, count the hours spent each week checking, correcting and consolidating, and multiply by your teams’ fully loaded hourly cost: that is the basis of a return-on-investment calculation, explained in the ROI of a business tool.
When to stay on Notion
Keep everything in Notion if:
- your databases organize work rather than produce it: ideas, content, internal projects;
- a data entry error has no consequence for a customer, an invoice or inventory;
- your teams like evolving their pages themselves;
- no external access is needed.
Notion is also the right tool to document the future app: procedures, rules and glossary belong there.
Moving operations out of Notion
The right scope for an app is the process that runs the business: orders, customer files, field service, production tracking. Everything else stays in Notion.
- Identify your most critical Notion database: the one where an error costs money.
- Export it and list its properties, its views and who edits it.
- A 30-minute call to check whether a business app is justified.
- Scoping (1 to 2 weeks): scope, permissions, integrations, fixed quote.
- Mockups, development in batches, data migration, then three months of support included.
Indicative budget: $6,800 to $22,400 (€6,000–€20,000)excl. VAT depending on the building blocks. The estimator gives you a range in one minute, and the page on replacing shared Excel files describes a similar approach.
Frequently asked questions
Should we leave Notion for custom software?
Rarely entirely. Notion remains very good for documentation, procedures and meeting notes. What is better moved out of Notion are operational processes: orders, customer files, field service, numeric tracking.
What limits do teams hit with Notion databases?
The most common: little control over data validation at entry, business calculations and rules that are hard to express, permissions designed around pages rather than business roles, and exchanges with the ERP or invoicing that depend on external connectors.
Can a custom app show up inside Notion?
Notion lets you embed external web content in a page, and it has an API. A business app can therefore link to Notion or publish some information there; exact feasibility is checked during scoping, based on the need.
Does Notion’s AI replace a custom AI integration?
For searching your documents and drafting, the AI included in the Business plan may be enough. A custom integration makes sense when AI has to act on your business data with precise rules and human validation, starting at $2,300 (€2,000)excl. VAT.
