In short

HubSpot offers a free CRM for up to 2 users, then Sales Hub Professional at $90 to $100 per seat per month with an annual commitment and a required $1,500 onboarding fee. A custom CRM costs $6,800 to $22,400 (€6,000–€20,000)excl. VAT once: it competes with Professional or Enterprise, not with Starter.

HubSpot wins people over with its free CRM and polished interface. The bill comes later, when the team grows and has to move up to Professional or Enterprise, billed per seat, with onboarding fees. Here are Sales Hub’s public prices, the 3-year math against a custom CRM, and the cases where HubSpot is still the right choice.

HubSpot Sales Hub public pricing

Prices checked in October 2026 on HubSpot’s Sales Hub pricing page, which displayed US dollars at the time. Prices shown in other countries may differ, so check the price offered for your location before deciding.

Plan Listed price Terms
Free $0 up to 2 users
Starter $7 or $20 per seat per month monthly or annual payment; the page does not say which amount applies to which option
Professional $90 or $100 per seat per month annual commitment; required one-time $1,500 onboarding
Enterprise from $150 per seat per month sales-assisted; required one-time $3,500 onboarding

The lower amount for each plan most likely corresponds to annual payment, but the page does not say so explicitly: confirm it with HubSpot. Marketing Hub or Service Hub, if you need them, are billed separately.

The 3-year cost compared with custom software

Assumptions for this example, to replace with your own: 20 sales seats, no price change over 3 years, the lowest listed annual price. For the custom option: a CRM at $20,200 (€18,000)excl. VAT plus €3,000 a year for hosting and maintenance. HubSpot amounts are in dollars and the custom option in euros, so convert at the current rate to compare.

Option Annual cost 3-year cost
Sales Hub Starter ($20) $4,800 $14,400
Sales Hub Professional ($90) + onboarding $21,600 $66,300
Sales Hub Enterprise ($150) + onboarding $36,000 $111,500
Custom CRM ($20,200 (€18,000)excl. VAT + €3,000 a year) €3,000 a year, plus the upfront investment €27,000

The reading is the same as for any CRM billed per seat. Starter costs less than custom software: if its features are enough, stay on it. Professional and Enterprise, on the other hand, cost two to four times as much as a custom CRM over 3 years in this scenario, and every hire adds a seat.

The full method is explained in the 3-year total cost of SaaS versus custom software. For your own case, the estimator gives you a range in one minute.

The real reasons to leave HubSpot

Price is not the only reason, and not always the main one. The reasons that justify a custom CRM are more often:

  • an unusual sales process: long cycles with several decision-makers, tenders, technical quotes, internal approvals that standard pipelines handle poorly;
  • double data entry: reps copy into the ERP what they entered in HubSpot, or the other way around;
  • many occasional users: technicians, assistants, partners who need to view or update a record and for whom a full seat makes no sense;
  • control over your data: a CRM hosted where you choose, with code you own.

If none of these apply to you, the financial case alone is rarely enough to justify switching tools, given the change management involved.

When to keep HubSpot

I would advise you to stay on HubSpot if:

  • marketing automation drives your acquisition: sequences, forms, landing pages, lead scoring. HubSpot does this very well, and rebuilding it is expensive;
  • your sales team is a handful of people and Starter is enough;
  • you have no strong connection to an ERP or business software;
  • nobody internally can own a project for scoping and acceptance testing over two to three months.

The hybrid route is worth considering: HubSpot for marketing and lead capture, a custom business tool for complex sales, quotes and the ERP link, the two connected through the API.

What a custom CRM costs

Scope Example building blocks Indicative budget Timeline
Focused CRM Contacts, pipeline, follow-ups, dashboard $6,800 to $13,500 (€6,000–€12,000)excl. VAT 1 to 2 months
Complete CRM + PDF quotes, team permissions, reporting $13,500 to $22,400 (€12,000–€20,000)excl. VAT 2 to 3 months
Connected CRM + HubSpot marketing link, ERP, accounting $22,400 (€20,000)excl. VAT and up 3 to 6 months

These ranges come from my public pricing. Details are in the cost of a custom CRM and the offer is on the custom CRM page. The source code and rights are transferred to you once the project is paid in full.

Where to start

  1. List what you actually use in HubSpot: pipelines, custom properties, sequences, reports.
  2. Add up the real cost over 12 months: seats, onboarding, add-ons, third-party tools.
  3. A 30-minute call to see whether replacing, a hybrid setup or the status quo is the most sensible option.
  4. Scoping (1 to 2 weeks), then clickable mockups tested by your sales reps.
  5. Development in batches and switchover, with data migration and three months of support included.

Frequently asked questions

Is HubSpot’s free CRM enough for a mid-sized company?

To get started, sometimes. HubSpot advertises it as free for up to 2 users: beyond that, or as soon as you need sales automation and advanced reporting, you move to a paid plan billed per seat.

Can we keep HubSpot for marketing and replace only the sales side?

Yes. HubSpot has a documented API: a custom business tool can read the contacts and form submissions coming from marketing, then handle the sales cycle, quotes and the ERP connection. This is often the best compromise.

Are HubSpot’s onboarding fees mandatory?

According to the pricing page checked in October 2026, yes for Professional ($1,500) and Enterprise ($3,500), as a one-time fee. They come on top of the seat prices.

How much does migrating data out of HubSpot cost?

It is priced during scoping, based on data volume and cleanliness. Contacts, companies, deals and notes can be exported from HubSpot; data migration is usually a building block of about $900 (€800)excl. VAT in my pricing, more if heavy cleanup is needed.
