Pipedrive costs $14 (Lite) to $79 (Ultimate) per seat per month billed annually, roughly $10,000 to $57,000 over 3 years for 20 seats. A custom CRM costs $6,800 to $22,400 (€6,000–€20,000)excl. VAT once: price alone does not justify it, but a process or integrations Pipedrive handles poorly can.
Pipedrive is a simple, pipeline-centered CRM and one of the most affordable on the market. Replacing it with custom software just to save on seats rarely makes sense. Some teams, however, end up working around the tool with spreadsheets and double entry. Here are Pipedrive’s public prices, the 3-year math, and an honest framework to decide whether to keep, extend or replace it.
Pipedrive public pricing
Prices checked in October 2026 on Pipedrive’s pricing page. At the time, the page showed prices in US dollars, excluding VAT, per seat (user) per month, billed annually. A “billed monthly” option exists and costs more (Pipedrive says annual billing saves up to 42%), but its amounts were not displayed. Prices may differ depending on your country.
| Plan | Price per seat per month | Annual payment per seat |
|---|---|---|
| Lite | $14 | $168 a year |
| Growth | $39 | $468 a year |
| Premium | $59 | $708 a year |
| Ultimate | $79 | $948 a year |
Note that Lite does not include automations, full email sync or forecast reports, according to the same page. Most structured sales teams therefore end up on Growth at least.
The 3-year cost compared with custom software
Assumptions for this example, to replace with your own: 20 seats, annual billing, no price change over 3 years. For the custom option: a CRM at $20,200 (€18,000)excl. VAT plus €3,000 a year for hosting and maintenance. Pipedrive amounts are in dollars and the custom option in euros, so convert at the current rate.
| Option | Annual cost | 3-year cost |
|---|---|---|
| Pipedrive Lite ($14) | $3,360 | $10,080 |
| Pipedrive Growth ($39) | $9,360 | $28,080 |
| Pipedrive Premium ($59) | $14,160 | $42,480 |
| Pipedrive Ultimate ($79) | $18,960 | $56,880 |
| Custom CRM ($20,200 (€18,000)excl. VAT + €3,000 a year) | €3,000 a year, plus the upfront investment | €27,000 |
The takeaway is clear: over 3 years, a custom CRM costs about the same as Pipedrive Growth for 20 people. Custom software only becomes clearly cheaper with the higher plans, a larger team, or a five-year horizon. Price alone is not enough to decide.

Keep, extend or replace: the framework
| Situation | What I recommend |
|---|---|
| Simple sales process, stable team, few connected tools | Keep Pipedrive |
| Pipedrive works for reps, but quotes, operations or the ERP are disconnected | Extend it with an app connected through the API |
| Field reps who need offline mode and order taking | Extend or replace, depending on how much of the CRM is actually used |
| Specific business process, many spreadsheet workarounds, several user profiles | Replace it with a custom tool |
“Extend” is the most common case. A technical quoting tool, a customer portal or an ERP sync can plug into Pipedrive’s API and leave reps in the tool they know. The page on extending existing software without replacing it covers this approach.
When to keep Pipedrive
Keep Pipedrive if:
- your sales cycle fits a pipeline with linear stages;
- your reps genuinely use it, with no parallel Excel file;
- your integration needs are covered by Pipedrive’s existing integrations;
- you have fewer than about twenty seats on Growth or Premium: the potential savings would not cover the effort of switching.
A custom project takes internal time: scoping workshops, mockup testing, acceptance testing of each batch. If nobody can spend a few hours a week on it for two months, stay on Pipedrive.
What a custom tool costs, instead of or alongside Pipedrive
| Project | Indicative budget | Timeline |
|---|---|---|
| Companion app connected to Pipedrive (quotes, portal, ERP sync) | $6,800 to $13,500 (€6,000–€12,000)excl. VAT | 1 to 2 months |
| Complete custom CRM, with Pipedrive data migration | $13,500 to $22,400 (€12,000–€20,000)excl. VAT | 2 to 3 months |
| CRM plus offline field order taking | $16,800 to $22,400 (€15,000–€20,000)excl. VAT and up | 2 to 4 months |
These ranges follow my business app pricing ($6,800 to $22,400 (€6,000–€20,000)excl. VAT). For your specific case, the estimator gives you a range in one minute based on the features you select.
Where to start
- Spot the workarounds: Excel files, double entry, information that lives outside Pipedrive.
- Put a number on them in hours per week: that is often where the real cost lies.
- A 30-minute call to decide between keeping, extending or replacing.
- Scoping (1 to 2 weeks): scope, integrations, fixed quote.
- Mockups, then development in batches tested by your teams, with three months of support after go-live.
Frequently asked questions
Is Pipedrive cheaper than a custom CRM?
For a small team, almost always. With 10 Growth seats, Pipedrive costs about $14,000 over 3 years, less than a complete custom CRM. The gap only reverses with a large team on Premium or Ultimate.
Can we extend Pipedrive instead of replacing it?
Yes, and it is often the best option. Pipedrive has an API: you can build a customer portal, a technical quoting tool or an ERP sync alongside it, without changing your reps' daily routine.
What happens to our Pipedrive automations if we leave?
They do not export. The data (people, organizations, deals, activities) can be exported, but automation rules have to be rebuilt in the new tool. They are listed during scoping so nothing is forgotten.
How long does it take to replace Pipedrive?
1 to 3 months for a focused CRM, scoping included. Pipedrive can stay active during testing, then be canceled when the annual subscription ends.
