An order-taking app lets a sales rep browse the catalog and the customer’s prices, enter the order, have it signed and send it to the ERP from a tablet or phone, offline included. Allow $6,800 to $22,400 (€6,000–€20,000)excl. VAT depending on the ERP connection and offline mode.
A field sales rep spends part of each day filling in order forms, checking prices by phone and re-entering in the evening what they noted at the customer’s site. The errors then reach the warehouse and invoicing. An order-taking app removes these steps. Here is what it should do, the technical choices that matter, and what it costs.
What the app should do
At the customer’s site, the rep needs to move fast and have the right information at hand:
- the customer record: contact details, terms, credit limit, recent orders, visit notes;
- the catalog with photos, search by SKU or product family, availability;
- the customer’s prices, calculated from their price lists, discounts and net prices;
- fast entry: reorder a previous order, list of usual products, barcode scan;
- sales rules: minimum, free shipping threshold, case quantities, applied during entry;
- the customer’s signature on screen and an immediate summary sent by email;
- sync to the ERP as soon as the network allows;
- offline work, because the network often drops in stockrooms, basements and rural areas.
For sales management, the app gives a real-time view of orders by rep, territory and customer.
Installable web app or native app
| Criterion | Installable web app (PWA) | Native app |
|---|---|---|
| Devices | iPad, Android, desktop, with a single codebase | One build per platform, or a shared framework |
| Deployment | Link or home screen install, no app store | Publishing and updates through app stores or a device management solution |
| Offline | Yes, to be designed carefully | Yes |
| Updates | Immediate | Subject to store review and installation |
| Cost | Lower | Higher |
For order taking, I recommend a PWA in the vast majority of cases. The full comparison is in the guide PWA vs native app. Offline operation deserves its own page: offline order taking.
The ERP connection
As with an ordering portal, the value depends on the quality of the connection with your back-office systems:
- customers, items, prices and stock flow down from the ERP to the app;
- approved orders flow back up without re-entry;
- statuses and invoices flow down so the rep can see them at the customer’s site.
The method depends on your ERP (API, database, scheduled files). It is reviewed during scoping, because it is the item that weighs most on the budget.
One more point to check early: the volume of data each device must hold. A rep does not need the whole customer base, only their own territory, with the matching prices and history. Limiting the data to what each rep needs keeps the app fast, reduces sync time and limits exposure if a tablet is lost.
Budget and timelines
These ranges exclude VAT and cover a first version running in production, based on my public price list.
| Scope | What it includes | Indicative budget | Timeline |
|---|---|---|---|
| Focused order taking | Customers, catalog, prices, ordering, signature, email summary | $6,800 to $13,500 (€6,000–€12,000)excl. VAT | 1 to 2 months |
| Connected order taking | The above + ERP sync, offline mode, dashboard | $13,500 to $22,400 (€12,000–€20,000)excl. VAT | 2 to 3 months |
| Complete sales tool | The connected app + visit tracking, routes, targets, CRM | $22,400 (€20,000)excl. VAT and up | 3 to 5 months |
In my estimator, offline mode and notifications count for $1,200 (€1,000)excl. VAT, PDF order forms $1,700 (€1,500)excl. VAT, the ERP connection $2,300 (€2,000)excl. VAT, and maps and routes $1,700 (€1,500)excl. VAT. The breakdown is in how much an order-taking app costs, and the estimator calculates your range.
For a real project built for professionals on the move, OptiRoad, a platform currently in development, brings together a directory, routes, a calendar and invoicing.
When it is not the right choice
- Your ERP or CRM already offers a suitable mobile app. Test it with two reps before building.
- Two or three reps, a short catalog, single prices. A well-built form or an off-the-shelf app is enough.
- Prices and terms that are not formalized. The app applies written rules; if they only exist in your reps’ heads, they need to be set down first.
- A budget under $6,800 (€6,000)excl. VAT, the floor for reliable business software.
How the project works
- A 30-minute call (free): your team, your customers, your ERP.
- Scoping (1 to 2 weeks), ideally with a day of observation or a conversation with two reps: ordering journey, connection, fixed quote.
- Clickable mockups tested on tablets by your reps.
- Development in batches, with a pilot group in the field.
- Rollout, training, three months of included support.
Frequently asked questions
Native app or web app?
For order taking, an installable web app (PWA) works in the vast majority of cases: it runs on iPad, Android and desktop, without app stores, and can work offline. A native app makes sense for very specific hardware needs.
Do reps have to re-enter orders in the ERP?
No, that is exactly what the app removes. The approved order goes to the ERP, or to a file the ERP imports, depending on what your software allows.
Can we track rep activity with the same app?
Yes: visits, reports, follow-ups and revenue by customer can be added. I recommend starting with order taking, which brings the most visible gain, then adding activity tracking.
How long does it take to equip a team?
1 to 3 months of development depending on scope, then half a day of onboarding is usually enough for a well-designed app. A gradual rollout, with two or three pilot reps, limits surprises.
