Custom dispatch software for a taxi company or private-hire fleet is quoted case by case, at roughly $25,800 to $29,100 (€23,000–€26,000)excl. VAT for a platform with booking, assignment, a driver app, corporate accounts and invoicing. It makes sense when your assignment rules and business customers go beyond what standard tools can do.
A taxi company or private-hire fleet lives on its ability to respond fast and assign each ride to the right driver. Off-the-shelf dispatch software covers standard cases well. It becomes a constraint when your assignment rules are unusual, your business customers expect tailored invoicing, or you want a customer app under your own brand. Here is what custom dispatch software should do, the legal rules to build in from the start, and what it costs.
What dispatch software does
The core of the system connects three groups: customers who book, dispatchers who organize, drivers who drive.
| Feature | For whom | Points to watch |
|---|---|---|
| Booking intake | Customers, phone operators | Phone with customer record, website, app, corporate accounts |
| Ride assignment | Dispatchers | Automatic rules and manual override |
| Driver app | Drivers | Acceptance, statuses, navigation, ride closure |
| Real-time tracking | Dispatchers | Vehicle map, rides in progress, delays |
| Corporate accounts | Business customers | Multiple bookers, cost centers, monthly invoice |
| Invoicing and statements | Accounting, drivers | Customer invoices, driver statements and fees |
| Reporting | Executives | Pickup time, declined rides, activity by zone |
Assignment: the heart of the business
This is where custom software adds the most value. Each company has its own rules, often inherited from its history: zone queues, priority to drivers who have gone longest without a ride, adapted vehicles for some customers, regular drivers for a corporate client. A standard tool imposes its logic; a custom tool applies yours.
I design assignment in two steps: an automatic proposal based on your rules, then acceptance by the driver within a set time, moving on to the next driver if they decline. The dispatcher sees everything and can step in at any point. Approach times are calculated with a mapping service, billed by usage by its provider.
Regulations to build in
The sector is regulated, and those rules directly shape the design. In France, Article L. 3120-2 of the Transport Code, available on Légifrance (in French, checked in October 2026), provides in particular that:
- a vehicle without a taxi stand permit, such as a private-hire vehicle (VTC), may only pick up a customer on the public road if it can show a prior booking;
- it is prohibited to inform a customer, before booking, of both the location and the availability of such a vehicle driving on the public road.
In practice, this affects what the customer app shows before booking, and how bookings are timestamped and stored so they can be proven. Taxis, which hold a stand permit, follow different rules. Other countries and cities have their own regulations. I design the tool so that these distinctions are respected, but the setup must be validated by your legal counsel or trade association. This page is not a substitute for their advice.
Drivers’ locations are also personal data, whether they are employees or independent contractors: purposes, retention period and access are settled with your data protection officer.
The budget
Dispatch software is a multi-area platform, quoted after scoping. For an order of magnitude, here is a calculation using the building blocks from my pricing, for more than 50 users (dispatchers and drivers):
| Building block | Indicative price |
|---|---|
| Application base | $6,800 (€6,000)excl. VAT |
| Accounts and roles (dispatcher, driver, customer, company) | $1,700 (€1,500)excl. VAT |
| Dispatch back office | $2,300 (€2,000)excl. VAT |
| Customer area and corporate accounts | $2,800 (€2,500)excl. VAT |
| Online payment | $1,700 (€1,500)excl. VAT |
| PDF invoices and statements | $1,700 (€1,500)excl. VAT |
| Map and directions | $1,700 (€1,500)excl. VAT |
| Notifications and offline mode | $1,200 (€1,000)excl. VAT |
| Dashboard | $1,700 (€1,500)excl. VAT |
| Connection to accounting or phone system | $2,300 (€2,000)excl. VAT |
| Total with the over-50-users factor (×1.2) | about $28,200 (€25,200)excl. VAT |
Without an external integration, the total is around $25,600 (€22,800)excl. VAT. A native customer app published on the app stores, or a large data migration, come on top. Timelines run from 3 to 6 months or more. For your setup, the estimator gives you a first range, and the principles of built-in payments are covered in adding Stripe payments to a business tool.
When this is not the right solution
For a small fleet with simple rules, off-the-shelf dispatch software billed per vehicle or per driver is quicker to set up and less risky. Joining a large booking platform can also bring volume, at the cost of a commission and less control over the customer relationship.
Custom software makes sense when you have a large business clientele with its own invoicing requirements, assignment rules that standard tools cannot reproduce, a mixed fleet (taxis, private hire, accessible vehicles), or a wish to stop depending on a vendor for your customer list. If most of your bookings are made in advance (transfers, shuttles, groups), see also the booking app for passenger transport companies.
How the project works
- A free 30-minute discovery call: your organization, your assignment rules, your customers.
- Scoping (1 to 2 weeks): business and regulatory rules, integrations, data migration, fixed quote.
- Clickable mockups, tested by a dispatcher and a few drivers.
- Development in batches: booking and assignment first, then corporate accounts, invoicing and reporting.
- Gradual switchover, running alongside the old tool until operations are secure, with 3 months of support included.
The offer is described on the business apps page, and vehicle management in custom fleet management software.
Frequently asked questions
Can ride assignment be automatic?
Yes, based on rules you define: proximity, order of arrival in the zone, vehicle type, driver skills, fair distribution. The dispatcher can still force an assignment or take over when something unexpected happens.
Can business customers book rides for their employees?
Yes. A corporate account lets several people book, with cost centers, optional caps and a single monthly invoice. It is often what sets a dispatch company apart with businesses and hotels.
Do independent drivers have to use the app?
To receive rides from your company, yes. The driver app, installed on their phone, is used to accept rides, update their status and close the ride. Usage rules are set out in your contracts with them.
Can we bring over the history from our current software?
Usually yes: customers, frequent addresses, corporate accounts and ride history can be exported from most systems. The migration is priced during scoping based on data volume and format.
